Kainuu Orienteering Week accommodation
Booking conditions
Kainuu Orienteering Week accommodation office (from here on Kainuu Orienteering Week) apply the following terms and conditions to the ordering and booking of holiday services as well as to the cancellation of booked services. These terms and conditions become binding to both parties when the customer has made the reservation and received the booking.
Booking and payment
The customer makes a reservation online at www.rastiviikko.fi.
A booking confirmation will be emailed to the customer with details of the lessor of the property and details of the reservation made by the customer. After booking, details of the reservation and the customer's contact information will also be sent to the property lessor.
For dormitory and floor accommodation, customer will receive an email confirmation of their reservation. Detailed instructions on arrival and accommodation will be emailed to the customer about one month before the start of the booking.
The booking is confirmed when the customer has made a payment online at the time of booking or has received an invoice for the reservation which he / she has paid.
Reservation can also be made by email to the Kainuu Rastiviikko accommodation office. Bookings are processed during the opening hours of the accommodation office in the order of arrival, after which the Kainuun Rastiviikko will send the customer an invoice by e-mail or post. When booking an e-mail, we cannot guarantee the availability of the accommodation, as the accommodation may have been sold through the online store prior to processing the reservation.
Any objections to the invoice must be made to Kainuu Orienteering Week within 7 days of the invoice date. The invoice must be settled as a SEPA payment (with IBAN account number and BIC bank code) and using the reference number mentioned in the invoice.
The booking is confirmed when the customer has paid the entire accommodation fee by the due date (14 days from the date of the invoice). Once the booking has been confirmed, Kainuu Orienteering Week will send the contact details of the lessor or guardian of the accommodation (for a key release agreement). For reservations made 28 days prior to the start of the stay, the full accommodation fee will be payable immediately upon receipt of the invoice. NOTE! A payment reminder 28 days before or after the start of the stay will not be sent a reminder.
If the customer fails to pay or misses the payment deadline, the booking may be cancelled. In this case the object will be released back to Kainuu Orienteering Week.
Payment online
Online bank and credit card charges will be charged for the entire accommodation at once.
Payment by invoice or installment
When paying by invoice or installment, the price of the item will be charged according to the terms of the billing service (Walley or Jousto). The invoice must be paid before the reservation begins. Failure to pay the invoice or installment does not mean cancellation of the reservation. If the invoice or installment is not paid by the due date, Kainuu Orienteering Week has the right to cancel the reservation.
Cancellation or change of booking
Any cancellations or changes must be made in writing (by letter, e-mail) to Kainuu Orienteering Week (accommodation@rastiviikko.fi or Kainuu Orienteering Week/accommodation Urho Kekkosen katu 4 B, 87100 Kajaani, Finland). The date on which Kainuu Orienteering Week receives the notification will be regarded as the date of cancellation.
Private accommodation condition:
A cancellation fee of 10% of the total price of the reservation will be charged if booking cancellation 60 days before the start of the reservation. If canceled later than 60 days before the start of the reservation, the total price of the reservation will be charged. 10% of the accommodation fee will not be deducted if the customer is allowed to market the canceled reservation to another customer for a refund.
Dormitory, floor accommodation and campsite accommodation condition:
A cancellation fee of 10 € of the accommodation price of the reservation will be charged if booking cancellation 30 days before the start of the reservation. If canceled later than 30 days before the start of the reservation, the total price of the reservation will be charged.
Regardless of the above, all sums with the exception of the deposit (10 % of the rent) paid to Kainuu Orienteering Week will be refunded if the client or a person from the same household falls seriously ill, has an accident or dies. The payment method bonus is non-refundable. In this case, Kainuu Orienteering Week must be informed immediately of the cancellation, which must be properly verified by, for example, a doctor’s certificate. If the cancellation is made less than 48 hours from the start of or during the holiday, payments already made by the client will not be refunded.
Kainuu Orienteering Week will charge € 10 for any changes to bookings (destination, dates, extra services or number of persons). Changes must be made in writing by e-mail accommodation@rastiviikko.fi.
All changes must be made at the latest on 30 days before the start of the reservation. Any changes made after this date will be treated as a cancellation of your previous booking and subsequent new booking.
If the accommodation is not accepted or is received late, the customer is not entitled to a refund of the rent. If the customer cancels the reservation and leaves the property before the end of the rental period, no compensation will be paid for the unused time and the customer will not be entitled to a refund.
The right of Kainuu Orienteering Week to cancel the booking
Kainuu Orienteering Week may cancel a booking in the event of Force Majeure. In this case, the customer is entitled to a refund of the sum paid to Kainuu Orienteering Week, the handling fee is deducted from this amount 10 €.
If the customer fails to pay or misses the payment deadline, the booking may be cancelled without further notification. If a booking has to be interrupted because of disruptive behaviour on the part of the customer, no payments will be refunded.
Kainuu Orienteering Week has a right to cancel a booking if the lessor of the booked accommodation cancels the property's rent to Kainuu Orienteering Week. In this case, the customer is entitled to have a refund of the sum paid in full to Kainuu Orienteering Week or the possibility to transfer the reservation to another accommodation (transfer is organized by Kainuu Orienteering Week).
Handing over keys
The keys to the rented resort will be handed over to the customer at the time of arrival as estimated and notified to the cottage lessor or custodian by phone or in writing. The owner or custodian is entitled to charge a security deposit of 50 € (cash) on arrival. If the customer doesn’t return the keys, he has to pay the real cost of changing the locks.
Dormitory accommodation: The dorm administrator or Kainuu Orienteering Week accommodation people will hand over the dorm room keys to the customer at a pre-announced time. Keys for dormitory accommodation charge a security deposit 50 € / key (cash) and this payment will be returned when the key is returned after accommodation. If the customer does not return the keys to the property and can be considered to have lost keys their negligence, the actual cost of changing the dorm locks, less the deposit, will be charged.
Stay at rented resort (private accommodation)
In the case of a one-week stay, the rented resort will be at the customer’s disposal from 15:00 (3 pm) on the day of arrival to 12:00 (12 noon) on the day of departure, unless there’s no other agreement between the customer and the lessor or custodian.
The number of people using the resort must not exceed the number of sleeping places stated in the description or the number agreed on during booking. Tents, caravans and other accommodation are not permitted on a rented resort plot without the owner’s permission. Smoking is not allowed indoors. Electric car charding is prohibited, unless specifically agreed with the landlord.
Pet-owners must notify their intent to bring animals to the destination when booking; pets may only be brought to destinations which explicitly allow this.
The customer is responsible for cleaning the rented resort during the rental period and on departure. If the cleaning on departure is not done or it is not done properly and the lessor or custodian has to take care of the cleaning, has the lessor, custodian or Kainuu Orienteering Week right to charge customer at least 50 € for cleaning.
Stay at dormitory and floor accommodation
The dormitory room or floor accommodation rent covers the services which are mentioned in the dormitory room description. Sheets, linen and towels are not included in the rent and the customer has to bring them with him. The customer is responsible for cleaning the accommodation destination during the rental period and on departure. If the cleaning on departure is not done or it is not done properly and the KOW accommodation office right to charge customer at least 50 € for cleaning. The number of people using the accommodation is the number of people agreed on during booking. Pets are not allowed at the accommodation. Smoking is not allowed indoors.
Compensation for damage
The customer will be required to pay the lessor or owner direct for any damage caused to the rented resort or accommodation destination or its contents during occupancy.
Force Majeure
Kainuu Orienteering Week will not be liable for any damage or inconvenience incurred by the client in the event of an unpredictable and insurmountable obstacle (Force Majeure) or some other comparable reason, such as a natural phenomenon, power failure, etc., that was not caused by Kainuu Orienteering Week and whose effects Kainuu Orienteering Week could not be reasonably expected to prevent. Neither is Kainuu Orienteering Week responsible for any damage or inconvenience caused by regular natural phenomena.
Objections and complaints
Any objections and complaints regarding the holiday accommodation must be made immediately once the cause for them arises and addressed to the lessor or custodian of the property direct. If the matter is not satisfactorily attended to, the client should contact Kainuu Orienteering Week accommodation office. If the matter is not satisfactorily attended even then, the customer may make a written complaint to Kainuu Orienteering Week office. This should be done within one month of the end of the rental period.
Applicable law and venue for the resolution of disputes
The contracting parties will attempt to resolve negotiation any disputes. Should they fail to reach agreement, any disputes will be settled by the District Court of Kainuu. The contract is governed solely by Finnish law.
Right to change prices
Kainuu Orienteering Week has the right to correct any apparent mistakes in prices before the contract is made between the customer and Kainuu Orienteering Week.
Approval of the privacy policy document
By booking to the accommodation you accept the event´s Privacy Policy document Kainuun Rastiviikko ry customer register.
Kainuu Orienteering Week reserves the right to make changes.
